Contacts Management for Pharmacy POS System: Streamlining Supplier and Customer Interactions

In a pharmacy Point of Sale (POS) system, efficient contact management is crucial for handling suppliers and customers seamlessly. This article concisely guides key aspects: Adding Opening Balance & Payment, Customer & Supplier Ledger, and Customer Groups.

To add suppliers or customers, navigate to Contacts -> Suppliers or Customers. Click ‘Add New Contact,’ select the contact type (Supplier, Customer, or Both), and fill in the relevant details. The ‘More Information’ button provides additional information, including Pay Terms, Credit Limit, Opening Balance, and Advance Balance.

The opening balance reflects the initial Balance a contact had before using the software. This is particularly relevant when transitioning data from another system to the POS.

When adding or editing a supplier or customer, input the opening Balance in the provided field on the contact screen.

To view a contact’s Balance Balance, navigate to the list of suppliers or customers, click ‘View,’ and find the opening Balance. Balance Opening Balance is due.

Adding payment for the opening balance is similar to any other payment. Go to the list of customers or suppliers, select ‘Actions,’ and choose ‘Pay.’ Enter the payment amount in the popup modal.

To access the ledger for a customer or supplier, go to Contacts -> Supplier/Customer. Customize the view by selecting a date range and using checkbox filters for specific transaction types.

Customer Groups allow classification based on categories like Retail Customers, Wholesale Customers, Friends, Colleagues, etc.

To add a Customer Group, click’ Add’ to Contacts -> Customer Groups.’ Provide a group name and Calculation Percentage, Which influences the selling price calculation.

Customer Groups internally calculate and apply the percentage to the selling price. This is particularly beneficial for different customer categories, such as retail or wholesale.
